Duties:

• Stays informed about all events and offerings of Grace Farms Foundation and shares this information in an accurate and enthusiastic manner with visitors to the Commons.
• Greets all customers with consistently warm, friendly, personalized greeting and service to every guest and customer. Moves quickly, but efficiently, accurately and safely through each transaction to minimize wait time for each guest. Thank each customer for their order.
• Processes each customer order through the Grace Farms Point of Sales and credit card transaction system.
• Follows all Grace Farms beverage recipes and procedures to make requested drink orders for customers.
• Assists team set up and clean up after internal catered events
• Follows all health & safety procedures when fulfilling guest pastry and food orders.
• Communicates and educates customers about menu items, retail items and specials – including ingredient lists.
• Works to maintain a good customer experience and reports any customer complaints to their supervisor.
• Assists the culinary team with getting food orders out to the customers.
• Promotes a safe and clean service environment by supporting Grace Farms sanitation and cleanliness standards.
• Communicates on a high level with the kitchen team to expedite customer orders.
• Helps clear and wash dishes when needed.
• Maintains Commons area clean throughout shift, performs cleaning tasks such as sweeping, wiping down tables, pushing in chairs, collecting trays and maintaining back counter area tidy.
• Practices proper food organization, labeling, and storage.
• Maintains regular and consistent attendance and punctuality.
• Other duties as assigned

The Role

In the role of Event Operations Manager, you will serve on, and provide leadership to, a team that coordinates and executes events that celebrates the place, cultural, and humanitarian work of Grace Farms. You will be responsible for the supervision of the Events team, and all program logistics, details and inter-departmental communications that go into making these events a success.

Our environment is not a typical corporate events space.  Our clients are primarily our internal programming teams creating exceptional cultural and humanitarian events for the public, as well as some other not-for-profits and community partners. You will be part of a team with a strong collaborative work ethic that is passionate about putting their events management skills to work in a mission-driven environment.  This is not always a Monday-Friday 9:00 AM- 5:00 PM job.  Events and Programs take place when the audiences are available which can mean before & after hours, as well as on weekends.

Duties:

• Supervise the Events Team, overseeing a small team of professional Event Coordinators. Collaborate with internal & external program owners and team members to plan, document, and execute all major aspects of event management from planning stages through completion for events and programs of all sizes and varieties.
• Proactively seek, synthesize and communicate collected information regarding each event/program from and to a variety of sources to ensure that all are appropriately briefed and provided with the information they need to execute successfully on each event and program.
• Collaborate with and work alongside the Technical Director and team to determine the necessary technical supports for events and productions, including the specifications, costs and usage of equipment applied to a wide variety of performances, workshops, annual benefit and other projects.
• Train and coordinate cross-functional visitor engagement team to staff and support events as needed including, but not limited to, talent relations, hospitality, registration and production.
• Direct and coordinate event-related meetings and technical planning sessions with internal teams, invited guests, and partners.
• Develop and maintain relationships with event-related vendors and contractors.
• Ensure compliance with budgetary and contractual obligations
• Other professional duties as assigned.

• Must be proficient in Microsoft Office, Outlook, and Excel. Mac skills desirable.

Education & Experience:

• Bachelor’s Degree is required.
• Minimum of five (5) years of event planning, preferably for cultural, community, or not-for-profit spaces. Proven ability to plan and execute the logistics involved in a wide range and scope of events from small donor cultivation cocktail parties to large scale conferences/summits.
• Minimum of two years supervisory experience providing leadership to events professionals.

The Role

The Education Department Intern will work alongside our talented team of professional educators to facilitate programs for young learners and learners of all ages!  The person in this role will engage with the public by inspiring and inviting them into the Work at Grace Farms, as well as share the mission of Grace Farms through daily programming and pop-up activities.  By participating in this internship opportunity, you will be honing your public speaking skills, engaging audiences with hands on learning and place-based teaching techniques. This position can be for school credit or can be a paid internship.

Duties:

• Support the Education Team with Pop-Up Engagements, Bunny Book Group, Open Arts Studio, Earth Day, 10 Year Celebration Events and other public programs.
• Assist in the set up and clean-up of the daily programming, starting and ending each program on time in the proper location, and communicating any necessary changes in schedule to the supervisor on duty in a timely manner during regular Operational hours
• Partner with the Events & Visitor Experience Team in various visitor experience capacities to extend hospitality to guests at public and private events at Grace Farms including, but not limited to: greeting, registration check-in, wayfinding, and providing necessary information to guests to ensure a welcoming and meaningful event and experience for all
• Observe and collect data that will support ongoing analysis of the programs.
• Contribute to the research and development of public programs.
• Other duties as assigned.

Qualifications

Skills/Abilities:

• An interest in Education, English/Communication, Performing Arts, Nature, Science, History, or related field.   Working towards a B.A. or B.S. in one of these areas of study is a plus.
• Prior experience teaching students of all ages in a formal or informal setting, serving as tour guide, docent, museum guide, interpreter, visitor experience professional highly desired.
• Exceptional communication, interpersonal, and presentation skills as well as the ability to work comfortably and effectively with diverse audiences including both children and adults.
• Must love continuous learning and have the ability to pro-actively seek out additional information about a wide variety of topics and disciplines.
• Proven experience as a team player with a “can-do” attitude.  Must be able to maintain a calm exterior presence during periods of high volume, high stress or unusual events.

• Wash, cut, prepare, and cook food, including items such as poultry, meats, vegetables, pizzas, salads, sauces, etc. at stations including but not limited to the grill, pizza oven, salad station.
• Learn the menu to provide accurate, timely service.
• Ability to multi-task and take direction from Lead Line Cook and Chef de Cuisine & Commons Manager
• Verify that prepared food meets requirements for safety, quality, and quantity standards.
• Clean, stock, and restock workstations and display cases.
• Contribute to a team-oriented culture of mutual respect and support for each other.
• Cleans kitchen, storage and workspace area as part of a culinary team committed to promoting and providing a safe and clean kitchen and service environment in keeping with Grace Farms sanitation and cleanliness standards.

• Minimum High School Degree or equivalent. Culinary Degree preferred.
• Proven experience as a Line Cook.

• This position will work on site in New Canaan. Must have flexible schedule, as well as the willingness and ability to work nights and weekends as needed.

Duties:

• Anticipates and responds to visitor needs by providing accurate and helpful information about Grace Farms and all its offerings. Provides suggestions for personalized visit itineraries based on the visitors’ needs, interests, time, and other visitors attending with them (family, children, adults).
• Promotes and educates visitors to the benefits of membership and processes membership applications including upgrades and renewals.
• Solicits and records visitor feedback, suggestions, complaints and compliments about their experiences at GFF and make the supervisory team aware of such feedback for use in continuous improvement and quality control initiatives and efforts. Alerts supervisory staff to potential issues, problems and possibilities in a timely manner.
• Continuously expands personal knowledge about GFF, its grounds, offerings, exhibitions, events and initiatives by active participation in training, staying abreast of news, events, and programs through team meetings, verbal, written and electronic communications, asking questions of staff and supervisors, and observing on-site activities.
• Follows all safety protocols when greeting and processing visitors, guests, staff and members at the Welcome Kiosk upon arrival. Provides helpful and friendly guidance and direction to each arriving guest and member to start their visit to GFF in an exceptional manner.
